File bank statements and card bills in Finance
The Bank statements template moves bank statements and credit card bills that come with an attachment to a Finance folder.
Conditions first, then the model
This template mixes both kinds of rule. A condition checks for an attachment, which costs nothing. Only emails that pass are offered to the model with the sentence “Bank statements and credit card bills”. Statements end up in Finance; everything else with an attachment is left to your other rules.
When to change it
Many banks no longer attach the statement; they send a notice and ask you to log in. If yours does, remove the attachment condition so those notices are filed too.
What it catches
- Monthly bank statements sent as a PDF.
- Credit card bills with the statement attached.
- Statements from any bank, without adding their address.
What it leaves alone
- "Your statement is ready, log in to view it" emails with no file attached. The condition rules them out before any model is asked.
- Emails where the only images are inline, such as a bank logo. Those do not count as attachments.
- Emails the model is not sure about. They wait in Needs review.
What you can change
- Remove the attachment condition to catch "statement ready" notices too.
- Widen the wording, for example "Bank, card and loan statements".
- Add "mark read" or "flag", depending on whether you check them.
- Change the folder name.
Questions
Why the attachment condition?
It keeps the model's work to emails that could be a statement. Emails with no attachment never reach the model for this rule, which saves cost.
Does MailRules read the PDF?
No. It looks at the email itself. When a model is needed, it gets the sender, the subject and the first 2,000 characters of plain text.
What about receipts?
Use the Receipts template. It files receipts and invoices for purchases in their own folder.
