File receipts and invoices automatically

The Receipts template moves receipts and invoices for purchases to a Receipts folder, from any shop, so they are in one place when you need them.

One folder for every receipt

Receipts come from every shop you buy from, with different subjects and senders. The Receipts template asks one question of each new email: is this a receipt or an invoice for a purchase? If the answer is yes with enough confidence, the email goes to Receipts. It stays unread, so you still see that it arrived.

When to change it

If you file work expenses separately, write that into the wording, or make a second rule for them above this one. If your accountant only wants PDF invoices, add the “has an attachment” condition so MailRules ignores receipts with no file.

What it catches

  • Order confirmations and receipts from online shops.
  • Invoices for subscriptions and services you pay for.
  • Receipts from new shops, without adding their address anywhere.

What it leaves alone

  • Emails the decision model is not sure about. They wait in Needs review.
  • Marketing from the same shops. That is a promotion, not a receipt, and fits the Newsletters template better.
  • Mail that arrived before you connected the mailbox.

What you can change

  • Narrow the wording, for example "Receipts and invoices for purchases, except work expenses".
  • Add a condition, such as "has an attachment", if you only want receipts that come as PDFs.
  • Add "mark read" if you never need to see receipts arrive.
  • Change the folder name, or point it at a folder you already use.

Questions

Does it mark receipts as read?

No. The template only moves them. Add "mark read" if you want that.

What about bank statements?

Use the Bank statements template for those. It looks for statements and card bills that come with an attachment and files them in Finance.

Can I see why an email was filed?

Yes. Every decision shows the rule, a confidence and a one-line reason, and you can undo it.
